POSITION SUMMARY:
The Executive Assistant will support our CEO and VP in a fast paced, high-stress, and multi-threaded environment. A strong attention to detail, exceptional communication/ note-taking skills, and the ability to prioritize tasks are a must. Ability to work independently.
This candidate will be required to work onsite in the corporate office-Eatontown, NJ location 5x a week.
ESSENTIAL DUTIES AND RESPONSIBILITIES- MAY INCLUDE THE FOLLOWING: OTHER DUTIES MAY BE ASSIGNED.
- Proactively Manage the CEO and VP calendars, schedule meetings, and arrange travel itineraries.
- Prepare and coordinate materials for meetings and business priorities including agendas, presentations, and reports.
- Serve as a liaison between the CEO and VP and internal/external stakeholders, including customers.
- Manage and prioritize incoming emails, contract reviews, signature, and meeting requests.
- Perform research analysis as needed to support the CEO and VP’s decision-making process.
- Create business reports to highlight requested KPI’s and alignment of key business priorities.
- Handle confidential information, including financials with discretion and always maintain strict confidentiality.
- Assist with special projects and other duties as assigned.
MINIMUM EDUCATION AND EXPERIENCE:
- Bachelor’s Degree
- 5 years of experience working as an Executive Assistant supporting high level executives.
PREFERRED EDUCATION AND EXPERIENCE:
- Master’s degree a plus.
- 5-7 plus years’ experience working as an Executive Assistant in the technology industry or relative.
- Some experience working with Netsuite
OTHER SKILLS and ABILITIES:
- Attention to detail.
- Excellent Organizational skills
- Strong written and verbal communication skills.
- Ability to work in a fast-paced, high stress, multi-threaded environment.
- Ability to maintain confidentiality.
- Problem-solving skills and ability to think critically.
- Ability to work independently and prioritize tasks with minimal supervision.
- Proficient in Microsoft Office and Outlook.
- Must have interpersonal skills and coordinate with others departments as needed.
- Other projects as needed.
TRAVEL: New York, New Jersey, Pennsylvania and Delaware Regions-Up to 3x a month.
